How PhysioPod Co found a better fit for its Clinical Pilates classes

PhysioPod Co is a physiotherapy and podiatry practice in Geelong. The team works across women’s health, pregnancy, sport and paediatric care. They also run small Reformer classes, including Clinical Reformer, Reformer Flow, Mums & Bubs and Prenatal Prep.
PhysioPod needed a class booking system that was easy for clients to use and could also handle the invoicing and class passes required by a physio practice.
Why Acuity was not the right fit
PhysioPod uses Cliniko for its clinical appointments and had been using Acuity Scheduling for classes. Owner and physiotherapist Lauren had tried other booking systems too, but none covered everything the class side of the business needed.

Private health invoicing was at the top of the list. Invoices needed to include item codes and provider numbers. Clients also needed an individual invoice after each class, even when they had paid with a five or ten class pack. PhysioPod wanted to send those invoices from the booking system rather than Cliniko.
The rest of the list included class packs, casual passes, a client app and a waitlist.
Moving clients and credits from Acuity
When PhysioPod moved to CoreBookings, we helped transfer its class clients and packs from Acuity. Acuity did not provide a clear report of the credits left on each pass, so Lauren prepared the figures manually and we added them to the new accounts.
Each pass also needed to work with the right classes. Casual and general class packs were set up for Reformer Flow, Mums & Bubs and Prenatal Prep. Clinical passes could only be used for Clinical Reformer. This stopped clients from using the wrong pack when they booked through the app.
Giving teachers the access they need
Lauren needed the two physios who teach classes to handle most day-to-day jobs in the system. We updated their access so they could send private health invoices, see private packs and change class capacity when an extra person joined.
We also added book-ahead options for clients who attend the same class each week. A staff-only pay later option lets the team book clients who pay in person, without showing that option to clients booking online or through the app.

The teachers can now manage these jobs themselves while they are at the studio, rather than waiting for Lauren to update each booking.

As the team started using CoreBookings, Lauren raised questions based on what was happening in the studio each week. Those conversations led to practical updates for invoicing, staff access, class capacity, advance bookings and payments.

If you run Clinical Pilates from a physio practice, check more than the timetable when comparing booking systems. Look at the invoice a client receives after class, how existing credits will be moved, what your practitioners can do and whether passes can be limited to specific classes. These are small details, but your team will use them every day.
